Job Description: 

DUTIES:
This position provides clerical, financial and secretarial support to Carillion Services (ROH) Inc. -Facility Services Departments.

-Receive and distribute incoming and outgoing departmental mail, facsimile and direct to appropriate personnel. Process documentation for courier pick-up.
-Requisition material and supplies for the office and process photocopying as required.
-Develop and maintain up-to-date departmental files as required. Obtain compliance
documents, as well as any other necessary or pertinent information or documents for accurate and up to date department files or in order to process invoices.
- Ensure invoices are being processed in a timely fashion and act as a main point of contact for vendor enquires.
- Ensure all Purchase Orders and invoices are coded accordingly and are approved by department managers.
-Assist in processing orders with vendors (credit card, purchase requisition or blanket purchase order.
- Filing of all invoices.
-Assist during heavy workload periods with tasks/projects (i.e. clerical, financial and secretarial).
-Other related duties may be assigned.

QUALIFICATIONS:
• OSSD (or equivalent) completed plus minimum one year of community college Accounting.
• 2 years accounting experience in a computerized general accounting environment or completion of a completion of a Community College Accounting Certificate.
• Typing skills 40 words per minutes minimum, with high accuracy level
• Proficiency in latest version of standard office software applications including Internet Explorer, Windows, Microsoft Office (Word, Excel and Powerpoint), Outlook or any other Carillion Canada software, and with office equipment (fax, copier, voice mail, etc.)
• High level of initiative, judgment and adaptability
• Excellent communication, organization, problem solving and customer relation skills
• Excellent Management skills with the ability to prioritize and meet firm deadline with a fluctuating workload
• Must be able to multi-task and work with multiple interruptions
• High level of attention to details and commitment to ensure accuracy of work
• Ability to work independently as well as a team member, and work cooperatively with others (clients, vendors, etc.)
• Commitment to continuous learning and quality improvement. Ability to learn new software applications is imperative.
• Excellent communication and interpersonal skills required.
• Clear understanding of the English language; both written and spoken.
• Experience dealing with the public is required.
