We are looking to add to our growing team! Our office staff needs an administrative assistant who has great computer, phone, and people skills.
25 hours a week, weekday afternoons, but must be available for vacation coverage up to 40 hours a week.
Benefits including dental and vision available after 3 months.
WEEKLY ROLE AND RESPONSIBILITIES
• File and organize customer’s records
• Answer reception phone and take messages for staff
• Carry out water jugs for customers
• Call customers for annual filter change reminders
• Process sales for retail items and water jugs
• Assist with closing the store and pulling equipment for the next day
• Data entry in customer databases
• Register and mail customer warranties
• Test water for customers and regularly test water dispensers
• Any other duties as assigned by direct supervisor
OCCASIONAL RESPONSIBILITIES (when supervisor is on vacation)
• Balance books at the end of the day
• Schedule service calls and installations
• Invoice and process payments from scheduling database
• Process Costco and financing paperwork for installations
• Monitor email for orders
• Dispatch technicians for pickups and urgent service calls
• Track inventory items and order product when needed
QUALIFICATIONS AND EDUCATION REQUIREMENTS
• High school diploma
• Ability to carry 40lbs
• Skilled with computers and paperwork
PREFERRED SKILLS
Sage50, Microsoft Word, Microsoft Excel, FieldPulse, Gmail, and Google Sheets
ADDITIONAL NOTES
A positive attitude and team-oriented mindset for customer service is a priority for this role.
